HOA Board of Directors Meeting

The board has called this special meeting for the purpose of publicly reviewing and discussing several requests to adjust certain sections of the BCSFHOA ARC Standards. There are a few other brief items of business on the agenda (see posted below), but the primary purpose of this meeting is to give homeowners transparency into our drafting process, as follows:

  1. Each board member has reviewed the current document and submitted their suggestions to be compiled into a singled document. 

  2. At the June 8 board meeting, board members will review and discuss each suggestion one by one. 

  3. There will be no homeowner commentary DURING this board review; it is a “spectator sport.” However, homeowners who are present at the board meeting WILL have a “member voice” on the agenda, which they can choose to exercise at the beginning of the meeting before the review, or at the end of the meeting after the review (not both). We may need to limit comment time if there are a lot of members present. 

  4. The goal for our board discussion is to reach consensus on each proposed change. If we have majority consensus with a line item, it will be written into a new draft. If we do not have consensus, no change will be made and the wording in the draft will remain as it currently is stated.  

  5. We will make every effort to complete the draft at this meeting; if we go beyond 9pm we will set a second special meeting in a week’s time (5 days’ notice is required). 

  6. Once the draft is complete, we will mail notification of the proposed changes to every homeowner, along with a comment form, just as the board did in 2016 when the first document was adopted. We will give members the deadline of July 15 to submit comment in writing.  

  7. Board members will review all comment forms. If any board member wishes to amend the changes to the draft, we will discuss and vote on that at the July board meeting. We will make every attempt to approve the draft and vote to adopt the changes at the July board meeting. 

  8. Notification of the final approval will be sent in writing to each homeowner, and the new document will be updated on the website as soon as it is adopted.
